Planning an Outdoor Shoot: The Complete Guide for Productions

From the first idea to the last day of usage: the eight phases of an outdoor and sports production – casting, buyout, permits, safety, gear, visual language, shoot day, usage.

An outdoor shoot rarely fails because of the action. It fails on what nobody settled beforehand: a missing permit, a missed light window, a buyout discussed after the shoot. This guide lays out the full production chain – from more than ten years as a sports model on both sides of the camera.

Who this guide is for

For everyone responsible for a sports or outdoor production: marketing teams, production companies, photographers, agencies. I am not writing this as an authority or as a consultant who has never stood in the cold, but as a performer who has been shooting on mountains, lakes and in the air for over ten years – and who has watched a shoot day collapse more than once.

The structure follows the real order of a production. Every phase is summarised here with the decisions it demands – and links to the article where I take that topic apart in full depth.

Phase 1 – Concept & casting: book the actual skill

The first question is not “who looks good?” but: which skill has to be real on camera? A sports model who genuinely masters the discipline saves you the double, the second fee and the visible break between action shot and close-up. You can verify it in minutes: real videos from past shoots instead of promises, plus a binding skill table with levels.

Phase 2 – Rights & money: fee and buyout are two different things

The most common friction point in the whole chain. The fee pays for working time on set. The buyout compensates a brand’s right to use a face publicly for advertising – calculated over medium, countries and duration. Discussing it after the shoot means negotiating from the worst possible position.

Three things belong in place before the confirmation: the scope of usage (which channels, which countries), the duration including any extension option – and, for creator content, a clean split between working time, use of the creator’s own reach and the buyout itself. Phase 3 – Location & permits: earlier than you think

In the mountains it is never one office deciding, but several: forestry and nature conservation authorities in woods and protected areas, the lift company inside a ski resort, owners for buildings – and drones need their own approval. The range runs from small deals to just under €1,000 for half a shoot day charged by a forestry office; branded resorts cost considerably more, while lift companies often cooperate cheaply when the project markets their area too.

And lead times are getting harder: glaciers are melting, and winter collections are sometimes shot a full season ahead. Six months is no longer always enough. Deep dive with every contact, the real costs and the free mountain shoot checklist: Permits, safety and timing in the mountains.

Phase 4 – Safety: grade the risk before you cost it

Action is plannable once you grade it honestly. I run every request through a risk matrix – likelihood of an incident against the severity of the possible injury. Whatever lands in the red zone is not refused, it is rebuilt: more training, different conditions, a stunt coordinator, or a different solution altogether. That is how red becomes orange or yellow.

The rescue chain belongs in that plan. On developed terrain, snowmobiles do the job; for serious accidents helicopter rescue is the only real option – and at roughly €4,000–6,000 per mission it is a cost block that many policies explicitly exclude. Phase 5 – Gear & styling: function before colour

Sports equipment sits in between – half prop, half look. That is exactly where props and styling overlap, and exactly where misunderstandings start. The rule: function before colour. Length, stiffness and type have to match the scene and the character’s supposed skill; a beginner character on a high-performance glider is spotted instantly by anyone who knows the sport.

What can be rebranded is limited: bikes completely, skis only on the topsheet, paragliders only the logos – never the canopy colour. And a competitor’s brand in frame can get expensive. Phase 6 – Visual language: the angle beats the spectacle

Whether an action shot works is rarely decided by speed – it is decided by the angle: the low camera that creates steepness in the first place, the travelling perspective that makes speed tangible. I have been building my own rigs for years, so I think angles along – in front of and behind the camera. For a production that means less guesswork on set and more usable set-ups per hour. Phase 7 – Shoot day: the time window rules everything

You shoot in low, flat light – early morning or late afternoon. Lifts, however, usually start at 8:30, and the slope is often still icy in the morning. The perfect window is short. What follows from that:

  • Crew and equipment have to be up there before the lifts run – the previous day, by snowcat or snowmobile.

  • Keep the crew small: every extra person has to be transported or ends up in the way.

  • Leave nothing outside overnight: mountain weather turns fast, so cranes and trusses come down in the evening.

  • Plan B is not a luxury: northern and southern Alps differ sharply – a backup location and a backup day in the budget save the whole shoot when the weather flips.

Phase 8 – After the shoot: usage keeps running

The campaign does not end at the wrap – that is where usage begins. Document clearly which images run in which channels and countries, and for how long. If a term gets exceeded, fair additional compensation is settled quickly as long as the original agreement was clear. Clear rules are not distrust; they are the reason brands like Picture or Rossignol come back year after year.

The six most common mistakes

  • Buyout discussed too late – nobody negotiates well after the shoot.

  • Insurer not informed – helicopter rescue is often explicitly excluded.

  • Only one permit obtained – forestry office, lift company, owner and drone are four separate processes.

  • Avalanche safety left too late – the slope manager plans it well in advance, not once base camp is already standing.

  • Equipment picked by colour – the target audience notices immediately.

  • No weather buffer – the most expensive mistake of them all.

FAQ

How much lead time does a mountain shoot need?
Three to six months for summer shoots, considerably more for winter campaigns – winter collections are sometimes shot a full season ahead. Permits, lift coordination and avalanche safety take up most of it.

What does a mountain shoot cost on top of the fee?
Typical extra items: filming permits (from small deals up to just under €1,000 for half a day), transport by snowcat or snowmobile, the insurance notification including helicopter rescue (€4,000–6,000 per mission), a gear flat rate and the buyout for usage.

Do I need a double for the action scenes?
Not if the booked model performs the discipline at camera level. Then action and close-up come from one face – which saves a second fee and avoids visible breaks in the edit.

Who really decides in the mountains?
Three parties always belong in the loop: the lift company (access, transport, time windows), the slope manager (slope safety, avalanche control) and the mountain rescue service – plus the forestry office, conservation authority or property owner depending on location.
